Alberta Benefits Profile
The Alberta Benefits Profile is used to control the activation and tailoring of the use of the Alberta Benefits extract processes. This module must be set up for the benefits system to be accessed. The Benefits field under the employee master Pay Screen will not display unless the Alberta Benefits Profile is active for a payroll. For ASEBP, only fields Activate HRIS or A for ASEBP, Deductions For Annual Salary 1 and Pay Banks Codes For Annual Salary 1 are applicable.
Activate HRIS, A for ASEBP
- Enter 'N' when HRIS extract does not apply to this payroll. Leave the remainder of the profile empty.
- Enter 'Y' to indicate this payroll should be included for the HRIS extract processes.
- Enter 'A' to indicate this payroll should be included for the ASEBP extract processes.
Once this profile is activated then all active employees will have the deductions defined as Benefits deductions updated by the Alberta Benefits Update Process. When the HRIS Group field on the employee's Pay Screen is set to 'N/A', the employee will be omitted from benefit updates. Inactive (Terminated and On Leave) are automatically omitted.
Deductions for Annual Salary1
- Enter 'As of-Salary' when the annual salary 1 field should be loaded using the employee's current As of Salary value. Note, when the As of-Salary is used then the Deduction Codes and Pay Banks will not affect the salary calculation.
- Enter one to 12 deduction codes to be used in the definition of the employee's annual salary 1 field. The first deduction in the list that applies to an employee will determine the pay code I/E list for the calculation of annual salary taken from the employee function lines. The pay code I/E list, from the deduction code database for the selected deduction, will also determine the list of applicable pay codes to be used in the calculation of the employee's hours per week.
Pay Codes for Annual Salary1
- Enter 'I' for Include or 'E' for Exclude followed by a list of pay codes. The Pay code list is used in conjunction with the deduction definition. When 'As of-Salary' is used as the deduction definition, this pay code list will define the applicable function lines to for the calculation of hours per week.
Pay Banks Codes for Annual Salary1
- Enter the list of pay banks to be included in the calculation of the annual salary for ASEBP.
Location of HRIS Import Files
- Enter the location of the HRIS Payroll Interface import files. By default, the system will look at the location defined by the logical SRB$Export. This value is an override to the SRB$Export default.
HRIS Extract File Test or Prod
- Enter 'T' to have the HRIS Export Process generate a test extract file, Test_###HRIS_YYMMDDHHMM.TXT. The Alberta Benefits Update process will access ECQ_IN_%%%PPAY_%%%_Date/time.CSV files, where %%% is assigned by Morneau.
- Enter 'P' to have the HRIS Export Process generate a production extract file, Prod_###HRIS_YYMMDDHHMM.TXT. The Alberta Benefits Update process will access ECP_IN_%%%PPAY_%%%_Date/time.CSV files, where %%% is assigned by Morneau.
Activate Optional Effective Date
- Enter 'N' when it is not necessary to enter individual employee effective dates.
- Enter 'Y' to activate the HRIS Effective Date field under Employee Additions, Changes and Inquiry. The optional override effective date can be used instead of the global group and status effective date assigned during the HRIS Export process. When the HRIS Export detects a change in the employee's Group code, Basis code or status, a new effective date is applied. Benefits profile must be active for this payroll in order for this field to take effect.
Override SIN to Employee Number
- Enter 'N' to allow the employee's SIN to be loaded into the HRIS Export file.
- Enter 'Y' to have the employee's Employee number loaded instead of the SIN field on the HRIS Export. The employee number is zero filled on the front to ensure a total of 9 characters are reported.
Benefit Import Deduction Codes
- Enter all the benefit deductions to be imported through the Alberta Benefits Update Process. Any deductions contain in the benefits update file not in this list, will be omitted by the Alberta Benefits Update Process and reported as an error.
