Unavailability Additions

The Unavailability Additions module lets enter unavailability bookings. Employees booked as unavailable will not be selected in the substitute/casual search routine in the absence/dispatch screen nor appear on the available replacement employee report(s). This screen allows you to mark replacement employees as unavailable for as little as a few hours a day or months at a time. Weekly repeating schedules can also be entered. 

Employee

Enter the number of the employee to book as unavailable. Search to view a list of all employees. 

Start Date

Enter the start date (YYYYMMDD or YYMMDD) of the unavailability booking.

End Date

Enter the end date (YYYYMMDD or YYMMDD) of the unavailability booking.

Refusal Code

Enter the code that reflects the reason of the refusal. Search to view a list of all valid refusal reasons.

Portions of Days    

Enter the portion of the day the employee will be unavailable.

Enter 'F' to the full day, A to indicate AM, and P to indicate PM.

If you enter 'H' you will be allowed to specify specific start and end times. The letter entered must be placed under the appropriate day heading. Notice the day heading MTWTFSS where M represents Monday, T represents Tuesday. etc.

To book an employee as being unavailable for Monday morning, Tuesday afternoon, all day Wednesday and for an hour on Thursday, you would enter the following:

Start Time

If 'H' was entered in the portions of days field, enter the start time in 24-hour format: 1:30 PM is entered as 13:30.

End Time

If 'H' was entered in the portions of days field, enter the end time in 24-hour format: 1:30 PM is entered as 13:30.

Comment

Enter up to 80 characters to comment on this entry. This field is optional.

If the Unavailability was entered through the Automated Dispatch system, the comment field will read either 'Recorded Through Phone' or 'Refusal Changed Original'. The first message indicates a new unavailability record was added by the employee in Automated Dispatch. The second message indicates that an existing Unavailability record was changed by the employee through Automated Dispatch. If the comment fields show 'From Refusal', this means that the employee refused a current day assignment and indicated that they would not be available to accept any other assignments for that day.
