Substitute/Casual Preference Additions
The Substitute/Casual Preference Additions module lets you create employee preference records. These preferences are used in the dispatch search routine to find the best qualified replacements for a position. The preferences specified here are compared against the subjects, levels, areas, and locations assigned the absent employee so that the best qualified replacement can be found.
Employee
Enter a valid employee number. Search to view valid employee numbers.
Status
Enter 'A' to give the employee a status of active.
Enter 'I' to give the employee a status of inactive. Only active employees will be included in the dispatch search routine.
Area
Enter the area codes that the substitute/casual is willing to work in.
Enter '*ALL' to indicate that the employee is willing to work in all areas.
Location Type
Enter the location types the substitute/casual is willing to work in.
Enter '*' to indicate the employee is willing to work at all types of locations.
Subject
Enter the subjects that the substitute/casual is qualified to teach/perform.
Enter '*ALL' to indicate the employee is qualified to teach/perform all subjects/jobs.
Level
Enter the subject levels the substitute/casual is qualified to teach/perform.
2nd Subject
Enter the subjects the substitute/casual is willing to teach/perform. (Subjects the person is not necessarily qualified to teach, but available for.)
2ND Level
Enter sub subject levels the substitute/casual is willing to teach/perform.
Comment 1
Enter a comment that adds more information of the employee's qualifications or preferences.
Comment 2
Enter a comment that adds more information as to the employee's qualifications or preferences.
Dispatching Subgroup
This field is used to reduce the replacement employees into smaller subgroups. You can them identify in the Search Algorithm in the order the subgroups should be considered by Automated Dispatch for dispatch assignments. The codes used to identify the subgroups should be a single digit alphabetical code.
This field can also be used to identify replacement employees who must be dispatched prior to all others. These employees are often referred to as 'recall' employees. By placing them in their own dispatching subgroup, Automated Dispatch can attempt to dispatch them first while still maintaining them in rotation order.
Ex: If you have some substitute teachers with teaching certificates and some without, likely you want to dispatch the qualified sub teachers first. To do this, set field Dispatching Subgroup to 'A' for all qualified sub teachers. Then, in the Search Order Definition screen, add a PA/ phase level to the algorithm as shown in the following example.

Location
Enter the location(s) the replacement employee is willing to work at. Search to view valid locations.
Important
The search routine will always refer to the schools entered here. If no schools are entered, it is assumed the employee is willing to work at all locations unless otherwise specified in the area or location type fields. If there are one or more locations entered, the system assumes that the employee is only willing to work at these locations.
