Subject Level Code Database Maintenance

Subject Level Code is typically used to represent a level of school at which an employee is proficient to teach a particular subject or prefers to teach a particular subject.

Subject level codes are used in several places in the system. They can be entered on employee/applicant preferences to indicate which levels of subject they teach. Subject level codes are used in the dispatching system to find the best qualified replacement employee. They are also used in the assignment and Position Code systems in the event you want to attach subjects and/or levels to employee assignments or positions. 

Subject Level Code

Enter up to 4-character alphanumeric subject level code. 

Numeric Subject Level

Enter a numeric level code for use in the Automated Dispatching System. This number can be used by the absent employees

Note: It is recommended that leading zeros (ex. '04') not be used for Numeric Subject Levels, unless you train or communicate to employees to enter the '0' before each number.

Description

Enter up to 26 alphanumeric character description for the subject level code.

NOTE: To hide a Subject Level Description when an absence is logged via the web, enter (X) at the end of the Description (Ex. Secondary (X)).

Search Level

In Fields 4 - 12, enter the subject level code(s) that should include any replacement employees who have the Subject Level Code listed in Field Subject Level Code during the dispatch search process.

For example, when entering subject level codes as individual grade levels for elementary school dispatch jobs, you may wish to attach them to specific groups of elementary school grade levels.

For example, first create the following subject level codes which will act as groups:

    • K-7 (Kindergarten to Grade 7)
    • 1-4 (Grades 1 to 4)
    • 4-7 (Grades 4 to 7)

Then create the individual subject level codes which will act as grade levels:

    • K
    • 1
    • 2
    • 3
    • 4
    • 5
    • 6
    • 7

Then within the subject level codes for individual grade levels, assign the subject level groups as Search Levels:

    • K - Search Level(s): K-7
    • 1 - Search Level(s): K-7, 1-4
    • 2 - Search Level(s): K-7, 1-4
    • 3 - Search Level(s): K-7, 1-4
    • 4 - Search Level(s): K-7, 1-4, 4-7
    • 5 - Search Level(s): K-7, 4-7
    • 6 - Search Level(s): K-7, 4-7
    • 7 - Search Level(s): K-7, 4-7

This will ensure the ADS/ADL/WBW dispatching systems can match a dispatch queue record containing K - 7 or 1 - 4 to a substitute teacher that has a level of Grade 3 in their Sub/Cas Preferences record.

Note: Remember to perform an Index Rebuild when making additions to adjustments to subject levels.
