Subject Code Database Maintenance
Subject Codes are used to represent school subjects (ie. Math, History, Science etc.) and they are used by the dispatching system to find a best available replacement employee match for an absent employee. If the replacement employee is a teacher on call (substitute teacher), then they could have preferred subjects like math, history or science. If, however, the replacement employee is a school support staff casual, s/he could be assigned preferred subjects like clerical, crossing guard or noon hour assistant.
Subject codes are used in several places in the system. They can be entered on employee/applicant preferences to indicate which subjects they teach or the type of work they do. Subject codes are used in the dispatching system to find the best qualified replacement employee. They are also used the assignment system in the event you want to attached subjects to employee assignments.
Subject codes are often used in conjunction with level codes. By combining subject and level codes, you can differentiate different levels of subjects. For example, one teacher on call may be assigned the subject code MATH and a level code of ELEM denoting that he/she is capable of teacher elementary math. Another teacher on call by be assigned the same subject code with a level code of SEC which would denote that the employee is capable of teaching secondary level math.

Numeric Subject Code
Enter up to 10-digit numeric code for this subject code. This code is used by the Automated Dispatch system. This number must be unique.
Description
Enter up to 30-character description for the subject.

These fields are used in the Automated Dispatch System. If you are not using this system, you can leave these fields blank.
Enter up to 5 similar subject codes you want the dispatching search routine to match on if it can't find anyone to cover the specified subject. For example, if you are entering a subject code of computer science, you may want the system to search for math or science teachers if no computer science substitutes are available. The system will search for substitutes qualified in the 'like subjects' in the order they are specified.
Subject Category
This prompt lets you attach an employee category to each subject if you wish. If entered, this value will be used to selectively display only the applicable subject codes (by category) during absence entry through the web (Automated Dispatch Web). This will allow you to say display just the teaching subjects to teachers, and support staff work areas (subjects) to support staff. This field works in conjunction with field Automated Dispatch Web Absence Logging- Subject Category List in the ADS Absence Parameter profile.
Dispatch Group Over-Ride
In addition to the employees regular Dispatching Group or Group Key (as determined by their Category and/or Eligible as sub/cas fields in Employee Demographics), you can now further configure an employee to belong to other dispatch group(s) by entering Subject(s) on to their sub/cas preference screen that contain a dispatch group over-ride. This essentially tells the system to override the employees regular Dispatch Group/Group Key and see this employee as the replacement Category entered within this field if they hold the Subject. Ex: if Teachers are covered by the Category of SUBS you would add SUBS to the override on Teacher Subjects. If Support Staff are replaced by the Category of CASU you would add CASU in the override for Support Subjects.
