Statutory Holiday/Pro D Day Calendar Database Maintenance
The Statutory Holiday/Pro D Day Calendar Menu gives you access to the modules which maintain and manage the four calendars used by the HR system. The four calendars are: statutory holiday calendar, teaching holiday calendar (Christmas/spring break), district wide professional day calendar, and location based professional day calendars.
The calendars are used in the absence/dispatch system so absences/dispatches will not be booked on holidays and applicable professional days. The position determines whether or not a given position normally works these holidays. By default no one works on statutory holidays. Positions marked with 'N' in Works Pro-D field do not work on professional days. Positions marked with 'N' in Works Teach field do not work on teaching holidays.
The calendars for each year are automatically created anytime you go into a maintenance module; all you do is mark which days are holidays or professional days.
There are four different types of calendars (statutory holiday, teaching holiday, district professional day, and location professional day), with one set of maintenance modules. The different types of calendars are distinguished from each other by entering key words at the location prompt.
Calendar Additions
The Statutory Holiday/Pro D Day Calendar Additions module lets you add new calendars.
Location
Click on Statutory Holiday Calendar to access the statutory holiday calendar.
Click on Districtès Professional Day Calendar to access the district professional day calendar.
Click on Teacher's Holiday Calendar to access the teachers holiday calendar.
Click on Postion
Enter the 4-character location code to access the professional day calendars for any location. Search for locations.
Reference Date
Enter a date as YYYYMMDD or YYMMDD that will be the first month of twelve that you can access. For example, to access the calendar for the school year 1994, enter the date 19940901.
Once the reference date is entered, you will see a 3-month calendar similar to the one below. An additional 9 months can be accessed by click on the arrow buttons to the right.
Click on the date on the calendar that you would like to add a holiday
Click on the Full Day button to indicate that the day you have chosen is a full day off.
Click on the AM Only button to indicate if the day you have chosen is only the AM portion off.
Click on he PM Only button to indicate if the day you have chosen is only the PM portion off
Click on the calendar day and the full day/AM Only/PM Only button to remove the holiday
Holiday Description
Once you select a date, a small window will open prompting you for the Holiday Description. Enter a brief description of the marked date.
Click save when you are done editing the calendar.
Once you have set up the databases to use, you are ready to start using the absence system. Absences are entered into the system using the Absence/Dispatch Screen. This screen is used to enter both absences and dispatches.
Calendar Report
The Calendar Report lists the contents of any or all of the three calendars. Selection by date and location and sort options by location or date let you produce meaningful calendar reports.
Date
Enter the date range ((YY)YYMMDD) you want the report to cover.
Location
Enter the location to report. Remember you can enter the keywords of STAT, DIST and TEAC. Search to view valid locations.
Report Sort
Enter 'L' to sort the report by location.
Enter 'D' to sort the report by date.
