Posting Segment Code Database Maintenance

The Posting Segment Codes screen is used to help determine a unique ten-character job posting number. Each of the ten characters of the number may be considered a different segment with unique settings, or several characters may be combined into fewer segments. A number and description identify each segment. The defined segments together form the entire posting number. Segment one may be one character in length to identify the type of position (i.e. T=Teaching). Segment two may be five characters for the year (i.e. 00/01). Segment three could then be four characters to identify the number (i.e. 0001 to 9999). These three segments combined form the posting number – T 00/01 0001. Default values may be set for any of the segments as well as an auto increment feature to reduce data entry.

Segment Number

  • Valid entries are 01 – 10 representing the segment number to define the setting for. 

Description

  • Enter up to 30 characters to describe the posting segment number.

Segment Length

  • Valid entries are 01 – 10 representing the number of characters the segment will consist of.

Default Value

  • Enter the default text for the segment. If the segment should be different with each entry, do not enter a default value.

Skip Field

  • Enter 'Y' to skip this field in data entry (i.e. if the default value set in field 04 will always be the correct value, this field may be skipped to speed up data entry).

  • Enter 'N' if changes may be required to the default value.

Database Lookup

  • Enter 'Y' if validation of the data against a database in this segment is required.

  • Enter 'N' if no validation is required and the user may enter any value.

Auto Increment

  • Enter 'Y' if this segment should increment automatically to the next available number with each entry. This segment of data entry cannot contain alpha characters.

  • Enter 'N' if the auto increment feature on this segment is not required.

What Characters To Base Increment On

  • Valid entries for this field are 01 – 10. This represents the number of characters, beginning with the left-most character that must remain consistent for the same increment series to continue. If 06 is selected, then any change in the first 6 characters of the posting heading will trigger a new series of numbers to begin in this segment of the heading. This field is skipped if AUTO INCREMENT is set to 'N'.

Posting Segment Database 01

  • The Posting Segment Database screens let you define databases that are attached to each of the 10 possible posting segments. The ten posting segment databases are named Posting Segment Database 01 to 10. Each database corresponds to one of the ten possible posting segments created in menu option 10,1,2,33 and is used to validate the contents of the segment as it is entered. This screen is used to enter valid codes and descriptions for the segment to which it corresponds.

Posting Segment DB Code

  • Enter the database code for segment 01. The number of characters for this field will vary according to the segment length specified in the settings for segment 01 in menu 10,1,2,33. At the Posting Number Entry time, the number of characters defined for segment 01 will be validated with entries made here. Leave blank and PRESS <ENTER> to exit.

Description

  • Enter up to 30 characters to describe the posting segment code.

  • Similar maintenance functions are available for Posting Segments 02 through 10. You may not want or need to define valid codes for each of the segments you have defined in 10,1,2,33 option. The candidate segments for verification could be the ones which are non-numeric.
