Accumulation of Days Worked Report

The Accumulation of Days Worked Report will display the number of days an on-call employee has worked. This report counts one day when any part of a day has been worked regardless of the number of locations or positions the employee may have worked at.

This report can be run in either summary or detail mode. Summary mode will display the employee, substitute/casual hire date and the day count. Detail mode will display the details of each dispatch that was worked. Information reported includes employee, substitute/casual hire date, date worked, position, location, hours and shifts.

A flexible selection screen lets you select employees by status, category, substitute/casual eligibility, position, department, location, bargaining unit and substitute/casual hire date. You can also specify a range of days worked to limit the report to employees who have worked a certain number of shifts. For example, you could specify that you wanted to see just those employees that have worked between 50 and 75 shifts. You can also accumulate shifts within a specified date range.

The report also gives you the ability of adding in an opening balance of days worked from any of the User Defined Demographics fields. You can also indicate that you want the report to accumulate days from the employee's substitute/casual hire date if it is after the start date specified. This will ignore dispatch entries prior to the sub/cas hire date if the employee was terminated, then re-hired.

This report can be sorted either in employee or days worked order. If you choose to sort by days worked, the employee with the most days worked will show up at the top of the report. You can also run this report for an individual employee if you so choose. This report also contains a merge option so that you can export the information to a file that can be imported into an external application.

Employee Status Codes to Exclude

Enter a list of employee status codes to exclude from this report. Employees with matching status codes will be excluded from the report. To exclude all employees with a status of 'T' or 'L', enter 'TL' for this prompt.

Employee Categories

Enter up to 10 Employee Categories. Employees matching the entered categories will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Demographic Positions

Enter up to 10 Employee positions. Employees matching the entered positions will be considered for reporting. If no positions are entered, all employees will be considered for reporting.

Demographic Departments

Enter up to 10 Employee departments. Employees matching the entered departments will be considered for reporting. If no departments are entered, all employees will be considered for reporting.

Demographic Locations

Enter up to 10 Employee locations. Employees matching the entered locations will be considered for reporting. If no locations are entered, all employees will be considered for reporting.

Demographic Bargaining Units

Enter up to 10 Employee bargaining units. Employees matching the entered bargaining units will be considered for reporting. If no bargaining units are entered, all employees will be considered for reporting.

Dispatch Locations

To select dispatches by location, enter up to 10 locations. If no locations are entered, dispatches will be selected regardless of location.

Dispatch Positions

To select dispatches by position, enter up to 10 positions. Leave blank and press <Enter> to continue. If no positions are entered, dispatches will be selected regardless of position.

Include Eligible Substitute/Casual/Both/Neither

Active/Inactive/Both

Select the substitute/casual preference status of the employees to include in this report. This field defaults to B.

Subsitute/Casual Hire Date Range

Enter a starting and ending date as (YY)YYMMDD. This date range prompt allows you to select employees based on their substitute/casual hire date. Only those employees hired within the specified date range will be selected.

Date Range to Accumulate Shifts

Enter a starting and ending date as (YY)YYMMDD. This date range determines what dispatches will be referenced in the accumulation of days worked. Only dispatches within the specified dates will be totaled.

Number of Shifts

Enter a starting and ending number of shifts (days worked). This shifts range prompt will select only employees that have worked the specified number of days. For example, if you entered 50 and 75 here, only employees that had worked between 50 and 75 days (inclusive) would appear on the report.

Add in Shifts from User Field 

If you enter 'Y' the report will add in an opening balance that is stored in one of the User Defined Demographics fields. The field that is referenced is determined by the prompt below.

User Defined Field to Add In

Enter the field number of the User Defined Demographics field that you want to be added into the tabulation of the days worked.

Accum Shifts As Of Sub/Cas Hire

Enter 'Y' to only accumulate days worked after the employee's substitute/casual hire date. This will allow you to preserve the history of previously terminated employees without including the days worked before they were re-hired.

Display Absent Position 

Enter 'Y' to display the position of the absent employee as opposed to the dispatch position. The system determines which absence matches the dispatch by finding the one that has a matching location, position and start and end times. If no matching absence is found, the dispatch position marked with an asterisk '*' will appear on the report.

Detail/Summary Report 

Enter 'D' to run the report in detail mode, 'S' for summary mode. Summary mode will display the employee, substitute/casual hire date and the day count. Detail mode will display the details of each dispatch that was worked. Information reported includes employee, substitute/casual hire date, date worked, position, location, hours and shifts.

Rep Sort

Enter 'E' to sort this report by employee. Enter 'D' to sort this report by days worked.

Employee Sort 

Enter A to sort employees alphabetically by Name.

Enter N to sort employees numerically by Employee Number.

Employee Selection

Enter A to consider all employees for selection.

Enter S to enter selected employees individually.

Title

Enter the title for the report. This will appear on every page header of the report.
