What we’re doing:

We have added functionality for identified gender reporting, including:

  • Payroll Demographics: Identified Gender field

  • HR Demographics: Gender ID field

  • HR Quick Entry: Identified Gender field available to be added via Quick Entry Screen Definition (Field Code DEMO49)

  • HR Workflows: Pre-defined Identified Gender field in Demographics for use on employee update / additions

  • HR Report Writer: Employee Demographics field for Gender Identity reported from HR

  • Payroll Report Writer: Employee Demographics field for Gender Identity reported from Payroll

We’re excited to introduce our new Identified Gender Reporting functionality, designed to enhance inclusivity within Atrieve HR / Payroll and support BC Pay Transparency Reporting. This innovative feature streamlines the process of capturing gender identity information, ensuring that data is accurate and immediately usable. By incorporating collecting this information by using HR Workflows, you’ll eliminate common data inaccuracies such as illegible handwriting, inconsistent terminology, or data entry errors that can occur when re-entering from paper forms. HR and Payroll report writers will allow for real-time reporting.

Although this field was added to support legislation in British Columbia, users in all provinces can use it.

It is critical that you ensure you are in compliance with your province’s laws and regulations related to collecting and managing this personal information.

The identified gender field is integrated with the existing gender database. To include additional codes to this database, go to HR Setup & Maintenance > Setup Tables > Gender.

It is possible to configure HR Workflows eForms to restrict options in both the gender and identified gender fields as necessary. Please note that all Atrieve Web reports that include gender data will source information from the Gender field. Conversely, the Pay Transparency Report found in the Payroll section will utilize the Identified Gender data.

For instance, should your district require data from Atrieve Web and the recipient only recognizes ‘M’ or ‘F’ designations, the HR Workflows form can be customized to ensure that the Gender field is limited to ‘M’ and ‘F’. This adjustment permits the Identified Gender field to offer a broader range of options. Specifically, in British Columbia, the Identified Gender field in HR Workflows should be set to include only ‘M’ (Man), ‘W’ (Woman), ‘X’ (Non-Binary Person), and ‘U’ (Prefer not to answer/Unknown) to align with provincial guidelines.
