Edit Task Record
The next control button will allow you to Edit task records. This gives tremendous power to manipulate tasks outside of the pre-configured routing logic. Click on the edit link for the task to be edited.
This functionality should only be available for those users that are very familiar with the system's task routing e-form sections, routing authorizers and any applicable, configurable, product-specific security that has to be applied to them. The ramifications for making task edits should be fully understood.
The system can be configured in Profile Maintenance to enable editing of any of these four fields on the task:
Route to Employee: Changing the Route to Employee Number of a pending record will change who is currently expected to process that task record.
Section: Changing the Section of a pending task record will change what the assigned authorizer will be expected to fill in.
Authorizer Code: Changing the Authorizer Code would potentially change what information the task authorizer sees in the event that Authorizer Security is being used.
Status: Changing a completed task back to pending will result in a user being able to re-enter a section.
Tell the new recipient why they are getting a task record
If changes are made that result in a someone getting a task record (i.e. changing the recipient or changing the status from completed to pending), a prompt will be generated to inform the recipient of the reason for the new task.
When this happens, the program will also send the recipient an email with this comment. This email will have the same content as if this task has been sent as part of the normal routing (including a link back to the task so they can process it).
After clicking submit, and filling in the comment if applicable, you will be asked if you're sure you want to submit your changes:
Clicking "No" will return to the main edit page where you can change what was edited.
Clicking "Yes" will update the task record with the changes and echo back to a success message, and then display a refreshed list of task records showing the effects of the changes.
