"A Day is a Day" Absence Entitlement & Storage Bank Deduction

What we’re doing:

We have added two new ways to deduct entitlement limits, related to requirements around deducting any absence time as one (1) day.

  • Deduct time from a storage bank as one (1) day for any absence time (or dispatch if marked as absence) taken on a single date.

  • Deduct time from a leave annual limit as one (1) day for any absence time taken on a single date.

Why we think you’ll like it:

Many school districts have collective agreement and Employment Standards Act requirements around deducting any absence time taken on a single date as one (1) day. This will eliminate any reporting and manual work. This should also reduce confusion from the employee’s perspective when trying to take time off, not realizing time is reduced in this manner and not necessarily realizing they do not have enough time available for their absence.

To deduct time from a storage bank as one (1) day for any absence time taken on a single date, the following must be set up:

  • Pay Code must have PER DAY storage bank unit factor

  • Absence Code field “Convert to Days Using Scheduled Hours” set to D (Day Time Entered is Always a Day)

  • To control blocking/warning during absence entry - On the applicable leave code, entitlement tab, select entitlement policy 5 (OPS Storage Banks - Any Time Entered is Always a Day)

To deduct time from a storage bank as (1) day for districts using “Dispatch - Mark as Absence” functionality in absence/dispatch changes:

  • If the pay code selected must have a storage bank unit factor of “PER DAY”, the system will deduct 1 day by taking the total units of dispatches in a day against a PER DAY pay code and dividing it by itself to deduct 1 day.

To create a leave entitlement that deducts one (1) day for any absence without using storage banks:

  • - On the applicable leave code, entitlement tab, select entitlement policy 3 (Year Limit) and Entitlement Unit Type of O (Occurrence). From there, under Entitlement Amount, it can be specified that employees have a set number of occurrences under this leave code (any amount of time counts as one occurrence).

When a change is made to an absence or dispatch that had previously been deducted as one (1) day, the system will create an amendment for the units for payroll purposes, but will not update the storage bank unless the change is removing the absence/dispatch.
