Finance Data Collection

The Finance Data Collection option allows you to collect the required BAS supplier and employee paid expense information. Any foreign amounts will be marked up into Canadian funds using the invoice date to calculate the exchange rate.

Note: Responses to the prompts are saved as defaults for the next time the collection is run. The next time you are in this program, the system displays these defaults and prompts the following:

Is this correct?

  • Enter 'Y' to accept the defaults.
  • Enter 'N' to change the responses to the prompts.

These changes are saved as the defaults for the next time the collection is run.

Starting Period

  • Enter the start period where you want the report search to begin.

Ending Period

  • Enter the period where you want the report to end. Note: This process collects all invoices in the periods specified, paid or unpaid. The system will collect dollar amounts using the invoice amount (not the paid amount).

Vendor Type Code for Staff

  • Enter the 2-character code which identifies records in your vendor file as staff members.

Vendor Number Type Vendor #/Tax REG.#

  • Enter 'V' if the BAS information is to be indexed by vendor number.
  • Enter 'T' if the BAS information is to be indexed by tax registration number. The vendor number will be used for all vendors without a tax registration number on file.

Note: If you enter the SIN for your staff in the Tax.REG# on the vendor file, you will be able to add these expenses to the salary entry from payroll and report the two in the appropriate payroll section. These expenses will be reported with the salary or in Section B as employee paid expenses. It is preferable to record them with the salary information.

Vendor Type to Exclude

  • Enter the vendor type code to exclude from the report. The vendors excluded from this report will be reported in the  '.LST' file.

Note: This option allows you to include items which, if reported, would duplicate reporting or are payments made to liquidated payroll deduction liabilities.

Note: The marked up foreign exchange amounts will be listed in the .LOG file. This will facilitate balancing invoices against the Public Bodies Report.
