Account Analysis Report

The Account Analysis Report allows you to select, by Journal Entry type(s), all transactions for a specific account or range of accounts for one or a range of accounting periods.

Enter Starting Period #

  • Enter the period number [YYYYPP] where the report is to begin (where 'YYYY' is the year and 'PP' the accounting period number). The default displayed is the first period of the current year as taken from your Master Profile.

Enter Ending Period #

  • Enter the period number [YYYYPP] where the report is to end. The default displayed is the last period of the current year as taken from your Master Profile.

Note: Year boundaries should not be crossed for surplus/deficit accounts. An opening balance for the ending year will not be included in the report.

GL or SL

  • Enter 'S' to select only sub-ledger transactions.
  • Enter 'G' or accept the default to select only general ledger transactions.

Account Range or Selection

  • Enter 'S' or accept the default to select specific accounts.
  • Enter 'R' to select a range of accounts.

Budgets or Journal Entries

  • Enter 'B' to select Budgets only.
  • Enter 'J' or accept default to select Journal entries.

New Page for Each GL

  • Enter 'Y' or accept the default to skip to a new page for each account number.
  • Enter 'N' to skip two lines between GL numbers and print a line of dashes (-) to highlight the new account number.

Include Accounts with No Activity in Period(s)

  • Enter 'Y' to report accounts with no activity during the period/periods specified
  • Accept the default, to exclude inactive accounts.

Enter JE Type

  • Enter the journal entry type for which you wish a report.
  • Accept the default, to select all journal entry types except budget. If a type is entered, the system will accept up to 10 entries. If budget journal entries are desired, the types 'BO', 'BC' or any user specified types pertaining to budgets may be entered.

If Range was specified in the preceding prompt:

Enter Starting Account Number

  • Enter the account number where the report is to start.

Enter Ending Account Number

  • Enter the account number where the report is to end.

The resulting report includes all GL account numbers between the specified accounts.

If 'Selection was specified in the preceding prompt

Enter Account Number

  • Enter the account number to report. The system will accept a maximum of 21 accounts in a single run.

The right-hand side of the report displays a column headed "CP". An "*" is printed in this column beside each journal entry that is part of a closed period (general ledger month end completed).

Note: If you enter the same GL account number twice, the report produced will display duplicate transactions. These transactions are not in your file - just re-run the report requesting the GL account number only once.
